Refund Policy

Refund Policy – Development Programs, Camps, and Clinics

Refund requests:

  • Refunds and cancellations are subject to a 25% processing fee per registration/program
  • Requests for refund must be made at least 2 weeks prior to the start of the program to be eligible for a refund. Request must be made in writing to info@apexvolleyball.com 
  • Refund and cancellation requests less than 2 weeks from camp/program start date are not eligible for refund
  • We recognize that extenuating circumstances exist. For cancellations due to medical illnesses, or for any other compassionate reason, please apply in writing to info@apexvolleyball.com. If the reason is medical or illness, please include official documentation.

Change requests:

  • Change requests are permitted up to 1 week prior to the start of the original program, subject to space in the program you wish to change to and is of equal or lesser value to your original camp. No prorated fees will be offered.
  • Any other changes must adhere to the refund request policy; you will need to request a refund and re-register for the program of your choice, within the timelines noted above.

Athletes must be correctly registered for programs based on the birthdate range, ages and minimum skill requirements (if applicable) as noted on the program description. Apex reserves the right to withdraw an athlete from a program if they are incorrectly registered. with no refund provided. 

If an athlete is asked to leave the program due to poor conduct or dangerous behaviour (including but not limited to: verbal or physical threatening actions to self or others, not following safety instructions, unwillingness to participate in activities), no refund will be offered. The coach will make every reasonable effort to contact parents and allow for behavioural changes. In some cases, this may not be possible due to the severity of the incident(s).

Programs may be canceled at the discretion of Apex if minimum registration requirements are not met. A final decision will be made and communicated to registrants at least 48 hours prior to the program start date.

Refund Policy – Club Volleyball

Tryouts

Refunds will not be offered for tryout fees for any reason, including scheduling conflicts, injuries, or securing a position with another club.  In the event of low registration, we reserve the right to cancel a tryout and a full refund will be provided. 

Club Fees

Apex Volleyball Club operates on budgets that are based on anticipated number of athletes per team and their commitment to the Club team for the complete duration of the season and participation in all team events. With that in mind, if a player were to withdraw early from the season, we are unable to provide a refund as this would put the financial burden on the remaining team members. The team fees collected have already been spent or allocated to operational expenses (including, but not limited to gym rentals, equipment, uniforms and warm ups, coaching and administrative expenses, Volleyball BC and Volleyball Canada registration fees, and tournament registration fees). 

Travel expenses for out-of-town tournaments (including, but not limited to coaches travel expenses and per diems, and tournament fees) are shared among all team members; you will not receive a refund for these fees in the event that the athlete cannot attend.

If the reason is medical or illness, please include official documentation. All refund requests will be reviewed by the Board of Directors and Executive team for final decision. 

All approved refunds are subject to a 25% processing fee. 

Volleyball BC and Volleyball Canada Membership Fee

Volleyball BC collects membership fees (separate from club program registration fees, and also on behalf of Volleyball Canada) from all participants. This is paid directly to Volleyball BC (and subsequently, Volleyball Canada) through the SportLomo platform. Volleyball BC and Volleyball Canada do not provide refunds on their membership fees.
